Office Manager

CARE’s work in the Balkans started in 1993, when it provided humanitarian support to people affected by war. In the late 90-ties, CARE shifted its focus in the region from humanitarian post-war assistance and rehabilitation to socio-economic development, engaging in interventions directed at conflict prevention and peace-building, sustainable livelihoods, gender equality and the prevention of gender-based violence. CARE International in the Balkans puts focus on gender equality and has developed a regional strategy that encompasses two main program directions: Economic Justice and Social Justice.
CARE International Balkans is equal opportunity employer seeking a qualified candidate for its vacant position of the Office Manager in Kosovo.
Main tasks and duties of the Office Manager:
Office Manager is responsible for the provision of support, guidance and instruction to CARE staff and partners in Prishtina office, to ensure CARE personnel, procurement and administration policies and procedures are adhered to at all times.Office Manager is responsible for the day to day and longer term administrative support requirements necessary to undertake and implement approved Human Resource and Administrative policies and procedures.
S/he is directly responsible for supporting and coordinating payroll preparation, staff hiring, training and staff development in an effective and timely manner according to approved policies and procedures. S/he is directly responsible for the CO procurement process and ensure adherence to donor and CARE policies and procedures.
S/he is directly responsible for properties management in accordance with properties management manual. S/he supports Safety and Security Officer for CARE International Balkans including assessing security situation in country and preparing CARE visitors’ security briefing
Education and qualification:
- University degree, preferably in business administration or other related fields.
- Excellent managerial and organizational skills
- Highly developed communication skills
- Excellent reporting skills, Excellent English skills
- Experience in liaising with various stakeholders: local decision makers, government officials, institutional donors, private businesses etc.
Specific professional experience:
- At least five years of work experience in the field of business administration and office management
- At least five years of successful experience in office management and donor funded projects
- Proven experience of managing the office including administration and financial management
Technical skills:
- Excellent oral and written communication skills in English Language. Excellent oral and written communication skills in Albanian and/or Serbian language.
- Excellent interpersonal and communication skills, including a strong capacity for effective teamwork, as well as the ability to work independently; Strong relationship-building skills
- Evidence of strong analytical and planning skills, evidence-based reporting.
- Computer literacy, including familiarity with Word, Excel, and other Microsoft Office applications.
