Procurement and Contracts Intern
Job Summary
The procurement and contracts intern is responsible for researching suppliers and subcontractors to support the projects in the company. He/she is responsible for reviewing quotes/proposals, follow up and file of purchases, shipping and administration of files and database.
Key Responsibilities
- Manages the purchasing process for the company, ensuring that goods and services are procured at the best possible price, quality, and delivery time.
- Establishes and maintains positive relationships with suppliers to ensure ongoing supply of goods and services and to negotiate better terms and conditions.
- Research suppliers and subcontractors to support company’s ongoing and upcoming projects.
- Procures and monitors all orders from initial phase until final delivery.
- Generates regular status reports on all purchase orders.
- Maintains records and follow up files of purchases, shipments, and related matters.
- Maintains files of descriptions of available supplies.
- Administers the online purchasing systems. Reviewing all quotes or agreements to achieve ‘best price/best quality’ purchasing. Follows up on orders to ensure that materials are shipped and delivered on promised dates.
- Prepares and processes the procurement log in accordance with Architectural drawings for purchases.
- Makes recommendations and advises management on all purchasing issues, maintaining records of supplier contracts, agreements, goods ordered received.
- Manages the entire contract lifecycle, from initial contract creation to contract renewal or termination.
- Maintains accurate records of all contracts and related documents, as well as reports on contract performance and compliance.
- Manages and oversees the contractual agreements between a company and its clients or vendors.
- Collaborates with other departments, such as legal, finance, and procurement, to ensure contracts meet business objectives and comply with company policies.
- Identifies and implements improvements to the contract management process, including streamlining processes and increasing efficiency.
- Other duties as assigned by the supervisor.
Key Qualifications
- Third year or in the last year of studies (preferably on Faculty of Economics and Business Management)
- Ability to clearly articulate company needs and requests about materials and goods to the suppliers.
- Attacks everything with drive, energy, and an eye on the bottom line; pushes everything through to completion in a timely and thorough manner.
- Excellent verbal and written English communication skills.
- Computer software skills in Microsoft Office tools
